This position is a highly responsible position which serves the LSU Police Department and the Chief of Police with confidentiality. The incumbent will process accounts receivable from LSU departments and outside organizations, work closely with HRM’s Payroll division and the LSU Police Administration to ensure proper timekeeping procedures are followed and processed, create LaCarte expense report reconciliations for the Police Department, store all documentation as directed, and create letters, memos, and other documents as requested by the Chief of Police.
- 35%- Timekeeping: Monitors sign in and time off entries into Workday. Works with Police Department supervisors to resolve clocking errors. Works closely with Payroll to meet all timekeeping deadlines and to meet the Workday timekeeping exception procedures unique to the LSU Police Department. Knowledgeable of all pay types and works with Police Administration and staff to insure proper entries during the clocking process. Adjust time as required for Holiday events. Works closely with XtraDuty scheduler to monitor billable hours scheduled and worked. Follows state and LSU guidelines for the storage and destruction of documents.
- 35%- Accounting: Creates, tracks, reconciles, and reports invoices through XtraDuty software. Follows invoice procedures for internal LSU accounts handled through the Workday Journal process and follows invoice procedures for external accounts using the requestors preferred method to issue the invoice. Works with the Bursar to document and deposit incoming funds to the appropriate LSU Police Department account using the LSU CARD system. Incoming funds may include receipts from reports sales, invoices, donations, and other sources. Corresponds with all parties involved as needed through the various stages of the billing process. Works closely with accounting to stay current on any changes in procedures and meet all deadlines. Maintains documentation and monitors files for accurate status of all accounting actions. Follows state and LSU guidelines for the storage and destruction of documents.
- 20%- LaCarte/Travel: Works with Accounting, Payroll, and Travel, to prepare and processes expense reports for LSU PD staff as needed in Workday. Aids in the education of staff on the LSU guidelines for the use of the LaCarte P-card and assists the staff with purchases, receipts, and bill reconciliation of those charges on a timely basis. Coordinates travel and reimbursement arrangements for the staff as needed for training, and other department functions. Attentive to updates and changes to LSU policy.
- 10%- Administrative Support: Completes delegated business processes on behalf of the Chief to include Expense Reports, expense transactions, and spend authorizations within Workday to support travel, and operational needs. Records and stores LSU memo, directives, and other documents. Uphold a strict level of confidentiality and security clearance. Performs other duties or projects as assigned by the Chief of Police.
