Redwoods Presbyterian Church
Purpose: coordinates the church office operations, acts as receptionist to the general public during office hours, oversees rentals of the church facilities, performs data entry in coordination with our treasurer and our outside payroll and bookkeeping service, and provides support services for the church staff, members, and volunteers.
Accountability: employed by the Session of the church and is accountable to them through the
Personnel Committee. The pastor, as head of staff, is the Office Administrator’s immediate supervisor.
Hours: 6 – 16 hours/week possibly including Sunday mornings during worship. The remaining hours will be scheduled based on the needs of the church.
Pay Rate: $25/hr.
Relationships: good working relationships to be maintained with the church staff, the congregation as a whole, and with church officers, volunteers, and guests of the church
Worship support may include:
Be present for worship services Sunday mornings, provide technical assistance during worship such as record live-streaming services for YouTube, display slides as needed and other duties
Typing: letters, forms, bulletins, documents, newsletters, annual report, etc.
Filing: maintaining logical and useable system, both paper and electronic
Copying: printing and maintenance
Supplies: monitoring, ordering
Mailing: responsible for all incoming and outgoing mail, purchase stamps, prepare labels, newsletter (11 per year), letters, congregational communications
Directory: produce a complete directory yearly, maintain current contact information
Bulletin: type, arrange, edit, produce, copy weekly worship bulletin. Special occasion bulletins
Newsletter: edit, write, type, produce, copy, and prepare for volunteers to fold and mail
Website: editing and updating
Support church volunteers
Creatively support the work of the church, e.g. produce in-house letterhead, flyers, etc.
Telephones: answer, take messages, screen, transfer calls
Information: answer questions regarding the church, weddings, funerals, rentals and programs
Calendar: maintain, coordinate, give to staff and post on bulletin board
Bulletin boards: maintain and update information in coordination with church members
Oversight of rentals:
Keep rental account records current
Maintain rental schedules of church facilities
Maintain contract templates
Fill-in new standard contracts
Maintain and keep record of key distribution
Work with church representative and renters regarding late or missing payments
Inform treasurer of trends or changes in rental income
Act as liaison between renters and church representative(s), as needed
Track all incoming pledges, givers of record & other income
Maintain financial records and files
Prepare and mail statements for pledging households, twice during the calendar year
Maintain confidentiality of all financial information
Other duties as directed by the pastor

· Maintain confidentiality of all communications and observations in the church environment
· Effectively utilize office equipment such as computer, copier, telephone system, fax machine, printer and scanner
Evaluation: annual or as needed evaluation with the pastor and/or the Personnel Committee
