Administrative Specialist
Renner and Company is looking for a highly organized, detail-oriented, and driven individual to join our CPA firm as an administrative specialist in Old Town Alexandria, Virginia. You will have the opportunity to develop knowledge with tax and accounting software while also playing a significant role in the administrative operations of an accounting firm. The Administrative Specialist will provide operational and administrative support to internal teams, help maintain efficient workflows, and contribute to a high level of client service. This is a full-time, in-person position.
Responsibilities include but not limited to:
- Provide administrative support to professional services teams across the firm
- Assist with document preparation, scanning of incoming work, electronic file management, workflow coordination, and assembly of outgoing documents
- Assist with incoming and outgoing mail, deliveries, and electronic correspondence
- Answer and route incoming phone calls professionally and efficiently
- Assist with monitoring and ordering office supplies and maintaining office organization
- Support project coordination, task tracking, and follow-up on assigned initiatives
- Assist in planning and coordinating office events and internal activities
- Maintain accurate records and ensure administrative processes are completed in a timely manner
- Provide support with onboarding, scheduling, and other operational administrative functions as needed
- Perform additional firm administrative duties as assigned
Requirements:
- Bachelor’s Degree required
- Proficiency in using Microsoft Office (Excel, Word, Outlook and PowerPoint) and other relevant software
- Strong organizational skills with the ability to prioritize multiple tasks and manage time effectively
- Excellent communication skills, both verbal and written
- Ability to work in a team environment and collaborate with colleagues
- High level of confidentiality and integrity when handling sensitive information.
- Flexibility to adapt to changing priorities and meet deadlines
- Ability to work in a fast paced environment
- Strong attention to detail
- Must have aptitude to learn new applications and perform work electronically, as well as to use paper media when necessary
- Professional demeanor with excellent customer service and interpersonal skills
- Ability to work well with others and communicate effectively with partners and staff
Skills and Experience to Thrive in This Position Include:
- Education or training in business administration, project management and/or information technology
- Previous experience as a receptionist or administrative assistant
- Knowledge of CCH ProSystem software
