Employers: Partnering with the Student Employment Off-Campus Work Study Program

The Off-Campus Work Study Program connects local employers with talented, work-study-eligible undergraduate students seeking part-time employment during the academic year.

  • The employer partner must complete a Letter of Agreement (contract) that confirms eligibility to participate in the program, and willingness to comply with all program requirements.
  • The employer partner must complete a Position Description Form. The position description will be posted to the university’s Student Employment Job Board for eligible students to view and apply.
    • Employers have autonomy in interviewing and selecting candidates and will be responsible for notifying candidates who did and did not receive the job.
    • Hiring decisions must be made in a timely manner as students need to begin earning their financial aid work award.
    • The employer shall not discriminate among applicants based on race, color, sex, religion or national origin or subject any applicant to any other discriminatory practices prohibited by state or federal law.
  • The employer partner must provide the student employee with reasonable training and supervision to help the student feel well-equipped for the job and supported throughout their employment.
  • The employer partner must notify the University of any changes affecting the student employee’s employment.
    • The University should be notified if a student employee is not performing satisfactorily or if other adjustments are necessary to affect a better working relationship.

  • The program minimum wage as of January 2026 is *$16.90 per hour
    • *Program minimum wage will increase as California minimum wage increases 
    • Employer partners are welcome to set an hourly pay rate higher than the minimum wage, and the university will honor the reimbursement rate in accordance with the pay set by the employer partner.
    • Employer partners must first pay student employees for their time worked, and the University will reimburse the employer for a portion of the distributed pay.Nonprofit organizations are reimbursed 60% of the hourly pay rate.
    • Organizations outside of the nonprofit designation are reimbursed 50% of the hourly pay rate.
  • The employer partner must maintain accurate records of hours worked by each student and ensure that two timesheets are submitted for each pay period.
    • The first timesheet must be submitted to the employer to pay the student employee for time worked.
    • The second timesheet (with the same hours listed) must be submitted through the University’s Student Employment Portal for the University to reimburse the employer partner for a portion of the amount paid to the student employee.
  • Student employees are limited to working a maximum of 10 per week by the amount of their work award. 
    • The University of Redlands Student Financial Services office sets the total amount a student may earn in a work-study position. When the gross earnings have been reached, the student must terminate their employment.
    • The employer may continue to employ the student outside of the program, and at full cost, if the employer and student agree it is desirable to do so.

  • A representative or liaison of the Student Employment office will share necessary onboarding information and documents with interested employer partners.
  • Interested employer partners must complete and return the Letter of Agreement (contract) and the Position Description Form.
  • The Off-Campus Work Study Program operates in accordance with the University’s academic calendar; it begins in September and concludes in May. Prospective employer partners may contract with the program at any point during the academic year.
